Our project team includes four separate vendors and the client, a large metropolitan school district. The project includes design and installation of new network cabling, active equipment (switches, routers, etc.), wireless LAN, IP telephony, and WAN access in more than 60 schools in the district. The project is expected to last approximately two years and will cost several million dollars. Most of the funding comes from the E-Rate program so we are operating in a heavily regulated environment where everything will be subject to future audit and review for compliance.
We use dotProject to track activity, from start to finish, at each site. In addition, we use the task log and forum features to document issues that may be scrutinized during an audit after the project is complete. dotProject is destined to be the single source for all project information exchange including site survey, design, and acceptance documentation stored in the file repository.
Managing a collaborative project of this size and scope would be a nightmare without dotProject. But, in the end, the real value will be realized when we can port the entire system to the school district’s web server as a project archive for review by government auditors. An average E-Rate review for this sized district can take weeks as auditors sift through documentation from what are, in essence, multiple major network infrastructure projects. We believe that our project will be the first that will make use of any automated system to facilitate both the successful completion and through documentation of an E-Rate project.
When our client asked for online project tracking dotProject was the only viable solution because we have to provide differing levels of access to members of multiple organizations for the duration of the project. Finally, the fact that we can transfer the entire dotProject site with files and databases intact to the client’s web server to meet the mandated document retention requirements for the project is a definite plus.
